Proposal to Disallow the Use of Google Docs/Drive and Similar Services for Scans and Evidence Hosting

Hello, Butler here.

It seems there isn't currently a written rule regarding this, maybe it was deleted (I don't know), but as of now, nothing of the sort exists. So, let us make one.

Due to privacy and reliability concerns, I suggest that private cloud services like Google Drive or Docs be disallowed for hosting scans. These platforms pose risks because they can expose user identities, restrict access to sources, and are generally unsuitable for hosting evidence or scans.

Not only that, but links on these services may stop working unexpectedly, files can be removed, access can be restricted without warning, or content can be modified at any time. This means the same link might no longer contain the original evidence, making it unverifiable.

When compared with image-hosting websites, private cloud services are even less likely to keep files available because of the reasons mentioned above, which undermines the permanence and reliability required for proper documentation, in addition to the privacy concerns.

I will be proposing the following snippet, or something similar, to add to our rules:

Do not use Google Docs or other private cloud services (e.g., Google Drive, Dropbox, or other personal storage links) to host or share evidence, scans, or sources, as these platforms are not public, may expose users' personal information, and the uploader can revoke access at any time. Instead, use publicly accessible and secure hosting sites.

I'm not sure if this should also apply to the forums, but I am definitely proposing that it be applied to the wiki where our pages are created.

If this proposal is accepted, links from services like Google Docs and Drive will be added to the filter to prevent them from being added to our pages in the future, after first cleaning up the existing links on the pages listed below:

I was wondering why this wasn't in question for a long time, considering those google drive links can give away others' email addresses. I agree with this

Yeah, I know from experience that Google in general is terrible for hosting public images. They change URLs all the time and then the links no longer function.
Even when using my own website hosted through them this was an issue. As much as I like Google's services they're clearly not suitable for our purposes.

Yeah, they're considerably worse than Imgur Albums. We should try to keep explanations in blog posts or something. And also Gyazo and Catbox aren't bad choices either.

Yes, this is why I stated that I am uncertain whether this should be applied to the forums, as they serve as a medium for surveys. But if possible, it would be great if we can find a way to limit the use of such links for most other threads and topics that aren't the surveys.
